Creating a process for Sponsored Travel
Description
(Include problem, use cases, benefits, and/or goals)
Checklist when modifying an existing page:
-
What is the goal of changing the page? The goal of changing this policy is to create predictable travel costs for Professional Services Engineers who are going to a customer site sponsored by that customer. The Sales, SAs and TAMs can predict the costs of travel via per diem instead of guessing. -
What metrics are we trying to affect? Cost and Time Saving -
How will we decide if the change was successful or not? customer satisfaction. Less discussion and meetings over how much travel should be in an SOW. -
Would we revert the changes if we decided that it was not a success? replace the policy back to the current travel policy -
Make sure events are reflected in Google Analytics/Marketo if the page is changed -
Make sure redirection is done if we change the page so email newsletters do not contain dead link
Proposal
Here is the MR: !19915 (merged)
This MR:
- Creates a new process for Sponsored Travel that is billable to the customer. The purpose of this change is to create a simpler travel process for sponsored travel. This policy will make it easier to estimate travel costs for sponsored travel to include in Statement of Work (SOW) or Contracts.
- Adds a no receipt per diem reimbursement process. This change will change the reimbursement policy from receipts to using the USA Per Diem rates. This is the most common global travel policy for billable travel. Using GSA/Government rates is fair and comprehensive. This merge request also makes it easier for our employees to travel often by creating a flat daily rate.
- Adds guidelines for estimating travel expenses to be added to contracts or SOWs. Also provides an external reference that contracts can link to for travel costs.
- This Merge requests meets several of our company values: Growth mindset, this travel policy addresses an increase in billable and sponsored travel; Global Optimization, using GSA has rates for global travel; Ownership, employees can make travel decisions without being micromanaged - assumed approved in policy; The entire Efficiency value; Transparency, by adding this policy our customers paying for our travel can see a writen travel policy.
