Offboarding Check-List for Jay

List of additional transition items to track

  • Create "out-of-office" auto reply for emails received
  • Transfer SVB role to Nolan
  • Remove SVB admin access
  • Create list of recurring charges on Brex, transfer to Nolan's Brex card
  • Remove Brex admin access
  • Transfer Google Domain renewals
  • Remove Gusto admin role/account
  • Remove Quickbooks admin role/account
  • Remove jay@doublegdp.com from email lists (Accounting, SAAS, Support, Finance, others?)

This is the standard checklist for all employees. To be reviewed/edited as necessary.

Here are the steps required to offboard employees:

Manager TODOs

Administrative - [ ] Conduct exit interview

System Administrator TODOs

For the system administrator to complete. (Manager: please assign to either Nolan or April.)

  • **HOLD ** Remove from Google Suite, and any group membership within (e.g. "eng" or "csm")
    • If there are legal issues pending with the teammate, Suspend rather than Delete the user.
    • If there are no legal issues, then Delete the user. That teammate's manager should make the decision on whether to keep any documents or data from the account.
  • **HOLD ** Remove from GitLab - use "Maintainer" role under the "DoubleGDP" Group by default
  • **HOLD ** Remove Slack access
  • Google Analytics (should be automatic via SSO)
  • Remove from Pilot
  • **HOLD ** Remove from DGDPYouTube
  • Remove from OnePassword
    • Double check individual vault access
  • Remove Zoom (if appliable) - use "Basic" account for engineers, "Licensed" account for teammates who we expect to host meetings frequently
  • Remove from Expensify (if applicable) - only remove if there are no pending transactions/expense reports
  • **HOLD ** Remove from AirTable CRM (if applicable)

Considerations

  • Do any items need to be returned? e.g. laptop -- items purchased that are over the threshold where company owns them any legal needs to cover? - [ ] Google Wifi router
